Code of Conduct – Early Education Settings
Purpose:
von Maedler Photography is committed to providing professional, respectful, and child‑centred photography services within early education settings. Our work aims to document children’s learning, development, and milestones in a manner consistent with the National Quality Framework and relevant child‑safe standards in New South Wales and Victoria.
Working With Children Check:
All Von Maedler Photography personnel hold a valid, current state‑issued Working With Children Check and comply with all child‑safe obligations.
Mobile Phones and Personal Devices:
All photographers will not bring mobile phones or other personal devices into the centre.
Privacy and Image Use:
Images are supplied exclusively for the private, personal use of the purchasing family. Images will not be used for marketing, promotional, portfolio, or public purposes without prior written consent from the parent or legal guardian. Once images are delivered, von Maedler Photography bears no responsibility for how images are stored, shared, or published by recipients. Image ownership and licensing are governed by the Terms and Conditions.
Shared Spaces:
Early education environments are shared spaces. While reasonable efforts are made to photograph children individually, incidental inclusion of other children may occur. Families must not publish or share any image containing another child.
Friends Photos:
Friends photographs are only undertaken where written consent (email or text message) is obtained from all parents or legal guardians involved. Consent records must be provided prior to the session and retained by Von Maedler Photography.
Clothing and Preparation:
Children must arrive dressed in their intended clothing. Photographers and centre staff are not responsible for dressing or changing children due to supervision and duty‑of‑care requirements.
Activities and Appropriate Attire:
Photography may include age‑appropriate, child‑led activities. Only adequately dressed children will be photographed. Clothing must cover the torso and extend to at least mid‑thigh. Where skirts or dresses are worn, shorts or leggings underneath are strongly recommended.
Image Storage and Access:
Digital files are stored securely on external hard drives for up to two (2) years. Requests for access made more than six (6) months after delivery incur a $150 retrieval fee. Retrieval is not guaranteed.
Child Consent and Well-being:
Each child’s verbal or behavioural consent is required. Photography will not proceed if a child is distressed or unwilling.
Supervision:
Photography sessions occur only when an early education staff member is present.
Review by Centre Staff:
Images may be reviewed at any time by centre management to ensure compliance with centre policies and child‑safe expectations.
